NEXERA CoreIndustriesRetail and store chains

Buying and distributing. Knowing every day what is where.

Store chains and retailers with several branches run on purchasing, stock per store and accounts that add up per branch. NEXERA Core runs at customers in this industry as the system behind the till.

BottlenecksProven in practice

Where this industry loses time every week.

This is what we hear in the discovery phase in retail and store chains. Does this sound familiar? Then you know where a first phase begins.

Four stores, four versions of the truth

Each store keeps its own stock in the till system. What is held centrally and what is in transit, nobody knows for certain.

Purchasing without sight of sales

Ordered on instinct, received in the store, invoice sent to the office. Order, receipt and invoice are matched afterwards, if they are matched at all.

Accounts retyped store by store

Till sales per store go into a spreadsheet, then into the accounting package. Margin per store is a monthly figure, not a daily one.

How it works

Recorded once.
Six steps, one record.

From the first agreement to the last journal entry: what one step records, the next one uses. Nobody retypes anything.

Each step belongs to a module of the core. The module is shown with it, so you can see where the work is done.

Step 01

Item with EAN and prices

Purchase and sales price, price book per period, supplier and minimum stock per item.

Items & pricing
Step 02

Purchase order with the supplier

Purchase order placed centrally or per store, receipt scanned by EAN, invoice matching and approval.

Purchasing & payables
Step 03

Receipt and transfer

Receipt at the warehouse, transfer to the store with a delivery note. In transit is a status, not a gap.

Stock
Step 04

Till sales posted

Sales and stock movements from the till come in through the integration and are posted per store.

Finance
Step 05

Morning briefing per store

Best sellers, lost sales, open transfers and the margin of yesterday, at 07:00 per role.

Reporting & analytics
Step 06

Period close per branch

Cost centre per store, depreciation of fixtures and fittings on schedule, bank reconciled, VAT return from the core.

Documents and rules

From the same data, with rules the core enforces.

Documents come from the purchase order, the stock transfer and the accounts. Rules are built into the core and do not depend on anyone paying attention.

Documents

Documents in five languages. These are the main ones here.

  • Purchase order to the supplier
  • Delivery note with every transfer to a store
  • Goods received note by EAN
  • Weekly report per store, emailed automatically
  • VAT return and XAF audit file from the core
Rules

What the core stops, so that no one has to remember it.

  • A transfer only becomes store stock once it is received
  • A purchase invoice is only paid once it matches the order and the receipt
  • Till sales are posted per store and per day
  • Changed supplier bank details require a second approval
  • Closed periods can no longer be changed
Core and customisation

What is standard, and what becomes yours.

Three layers. The core is the same for every customer, the set-up is configuration, and the customisation is code that we write and maintain for you.

The core

Already in place, in every industry

  • Items with EAN and price books
  • Stock per store and warehouse
  • Cost centres and legal entities
Set-up

Configuration, no new code

  • Stores as locations and cost centres
  • Roles per store and office
  • Reports per store
Customisation

Built for this industry

  • Integration with the point of sale and the web shop
  • Promotional prices and stock counts
  • Replenishment proposals per store
In practice

NEXERA Core already runs in this industry. This is what you will see.

At customers in this industry, NEXERA Core replaces the stock and purchasing in the till system and the separate accounting system; the till itself stays. In a demo we show that set-up, anonymised, alongside your own documents.

Questions from this industry

Is your question not listed? Get in touch

No. The till stays the till. NEXERA Core is the system behind it: purchasing, stock, accounting and reporting. Sales and stock movements come in through an integration.

Yes, through an integration. Web shop orders come in as sales orders and the stock goes back to the web shop.

Yes. A store submits a request and the warehouse transfers the goods with a delivery note. Replenishment proposals based on sales are customisation for each customer.

Franchisees can be a separate legal entity in the same environment, with their own accounts and permissions.
